Adding Inventory Based On External Agreement

It may be the case that you contract outside of EventPipe's RFP tool. If this is the case, you will need to know how to add inventory for an event hotel.

STEP ONE: ADDING THE HOTEL TO THE HOTELS TAB

Click on the name of the hotel under the Hotels List on the Event homepage.

STEP TWO: ADDING THE HOTEL TO THE HOTELS TAB

Click on the name of the hotel under the Hotels List on the Event homepage.

Click "Add Public Room" under Room Blocks.

Select a Room Type to create inventory for.

  • If you need to add a room type, you can click on "Add new room type."
  • Once added, select "Refresh" for the new room type to populate.

Add # of Rooms, Room Rate, whether it is a peak or regular night, rebate, and commission for each date.

  • You can add dates before the check-in date and after the check-out date.
  • If amounts of the room and rates are the same for each date, you can select auto-fill to complete the room block table.

Click on "Save Room Block" to add inventory.

  • You can also add private and comp rooms under the same tab.

STEP TWO: UPDATE PROPERTY POLICIES

Under the Property Policies tab, click on "Edit Information."

Completely fill out the form with information agreed upon with the hotel (comp ratio, cutoff date, cancellation policy, amenities, etc). Anything with a red * is a required field. 

After completed, click on "Save Changes."

STEP THREE: ADD A HOTEL USER

Click Add User 

If there are users associated with that hotel already in EventPipe, you can add them by clicking the User Name and clicking "Add"

If you don't see your contact on the list, you can click "Create Hotel User" to add a new contract for the property

The users on the Users tab of an event hotel are able to see the pick-up as rooms are booked. They are not granted rooming list access right away unless you select the "..." menu and select Grant Access.

STEP FOUR: MARKING YOUR HOTEL AS LIVE

Once you have inventory, all required policies, and a user, you can mark the hotel as LIVE. Once a hotel is marked as live, it will show on the booking site.
