Users can manage hotel cut offs on the event hotel level and in bulk through EventPipe's Hotel User Management Pipetool.
Booking by the cut-off date ensures that these rooms are reserved for the group, maintaining convenience and cohesion for attendees.
By the cut-off date, it is important that the hotel user has access to the rooming list for your contracted block. This will allow the hotel user to assign confirmations via their portal after they book the rooms in their internal system.
Here's how you accomplish this in the EventPipe system!
Event Level:
1. Locate your event within EventPipe
2. Your contracted hotels will show on the Hotels tab, cut-off date is listed on the hotel card.
3. By the cut-off date, it is important that you've granted your hotel users access. To do this, click the event hotel and navigate to the Users tab.
4. Once on the users tab, click the meatball menu next to the user and click Grant Rooming List Access. Once complete, the status will change from Denied to Granted. Your hotel user will receive an email that they now have rooming list access and can begin assigning confirmations.
Event Hotel User Management Pipetool:
When managing multiple events and event hotels, sometimes it is easier to manage your cut-off dates in bulk. You can do this through EventPipe's Event Hotel User Management Pipetool.
1. Navigate to PipeTools on the left navigation panel then select Hotel User Management
2. Use the filters to adjust your view. TIP: if you are interested in all upcoming cut-off dates, click Filter, remove existing filters, then select a range of cut-offs you want to see.
3. Once your filter is in place, you can not only view upcoming event hotels, their cut offs, when the user was last logged in, etc. but you can also take the following actions in bulk:
- Grant access
- Revoke access
- Resend invitation
Take action by selecting the check boxes next to the user then clicking Actions on the top right of the screen.
