What are the options when it comes to post-event pickup reporting and invoicing?

This guide helps team members select and manage the post-event pickup report format for hotel reconciliation in EventPipe, ensuring accurate data entry and effective communication with hotel partners.

Step By Step

  1. Access EventPipe:
    • Log into your EventPipe account.
    • Navigate to the event you want to edit and click "Edit Event" or create a New Event.
  2. Locate the Event Pickup Report Section:
    • Find the "Event Pickup Report" section within the event edit details.
  3. Select Pickup Report Format:
    • Identify the format dropdown menu.
    • Choose between the following options:
      • Night by Night: This has been the default option in EventPipe to this point. It lists each contracted night of the event by room type with the total rooms booked, the hotel partner then can enter the total amount of rooms that actualized for that night/room type.
      • Reservation by Reservation: This option allows hotels to confirm or update each reservation based on actualization.
    • Click on "Update" or "Save" to apply your selection.
  4. Sync Format for Existing Events:
    • If editing an existing event, you can push down the selected pickup report format to all associated hotels.
    • Once your change is made click "Update Event"
    • You will then see the "Hotel Settings Sync" page, ensure that "Event Pickup Reports" is checked and click the "Sync Settings" button.
  5. Hotel-Specific Flexibility:
    • You can choose a pickup report format for a specific hotel that differs from the format of the event at large
    • Select a hotel from the hotels tab on the event details page
    • Navigate to the "Property Policies" section.
    • Choose the event pickup report format chosen for that specific hotel.
    • Hit "Save Changes".

Cautionary Notes

Double-check that the correct format is selected for each hotel, as discrepancies can lead to misunderstandings with hotel partners.

Ensure that all changes are saved before exiting the event details to avoid loss of updates.

Tips for Efficiency

Set the standard "default pickup report format" you would like to use with most of your events in your Company Settings page.

Familiarize yourself with both pickup report formats beforehand to make informed decisions quickly.
