Here are all the important steps to remember post cut-off as you close out your event.
After you've granted hotel users rooming list access, it is important for you to ensure these users assign hotel confirmations. This signifies to you that the reservation has been created in the hotel's system.
Once all confirmations are entered, you can send pre-arrival emails to your guests, disable changes, and refer any last minute changes back to the hotel! Let's take a look at how to monitor confirmations and close out your event.
Event Level:
1. Find the event and navigate to the Reservations tab. Once a hotel enters their confirmation, the reservation will switch from Confirmed to Processed.
The EventPipe system will send daily reminders to your hotel users if they've been granted access and have any pending reservations.
2. Once all confirmations are entered, you are able to send a pre-arrival email by clicking the event meatball menu and selecting Send Pre-Arrival Emails. If a hotel confirmation is entered, the owner of that reservation will receive an email notifying them of their direct hotel confirmation and informing them to go direct to the hotel with any last minute changes.
3. After sending pre-arrivals, you will want to immediately also click Disable Customer Changes so users can no longer make changes in their portal.
4. After this, no further action is needed in the system. The day after the event, if pickup reporting is turned on, the system will automatically send reports to the hotels so they can report any room night changes and you can start the reconciliation process.
TIP: It is your decision on when you want to send pre-arrivals and stop changes! Many users do this around a week prior to the event.
