Block Release Date - The block release date refers to the deadline by which a group must book the rooms they have reserved. If they do not book by this date, the unbooked rooms will be returned to general inventory.
Credit Card Authorization Form - If a person is paying for a room(s) but will not be present at check-in, the hotel requires a credit card authorization on file to allow the guest to check in. Each hotel has its own unique credit card authorization form, and this process is typically managed by Team Relations or the Account team for staff rooms.
Housing Requirement - This means that to take part in the tournament or event, teams are required to stay at one of the official hotels arranged by the housing company. All reservations must be made through the designated booking portal and listed on the official rooming list and final compliance report. This requirement is also known as a "Stay to Play."
Late Cancel Fee - The late cancel fee is a charge applied if a hotel reservation is canceled after a specified date. For instance, if the cancellation deadline is June 1, any reservation canceled after that date will incur the fee. This fee does not apply to all events and can vary in amount depending on the event and the hotel.
Master Bill - A master bill is used when a group wishes to pay for multiple rooms using the same card or account. Event Producers often use a master bill to cover the cost of staff rooms, with payment made after the event. Similarly, a team might use a master bill to pay for all their athletes' rooms, in which case they need to complete a credit card authorization form (see definition).
ROH/Run of House - A run of house (ROH) room type is a standard or most common category in a hotel, offering basic amenities. When you choose an ROH room, the specific room type and number of beds are assigned by the hotel based on availability at check-in.
