What is an inventory request and how do I mange them in EventPipe?

Housing Companies/Event Companies can request additional inventory from their contracted hotel partners via the EventPipe hotel portal.

What is an inventory request?

It is common for guests at our clients' events to require inventory that is not currently contracted, whether it be new room types such as suites or ADA-compliant options, or simply additional rooms to accommodate high demand during these events. In these cases, companies must request additional inventory from their hotel partners.

Why do Inventory Requests matter and how were they handled previously?

Historically, EventPipe customers have had to juggle multiple events and hotels using a combination of emails, spreadsheets, and manual follow-ups to manage inventory. With this new feature, we streamline that entire process into a single platform, making it significantly easier to:

  • Track requests at scale — no more digging through inboxes 
  • Standardize communication — hotel partners and internal teams all use the same system
  • Avoid miscommunication — detailed status tracking and request history keeps everyone aligned
  • Move faster — quickly create and respond to requests with structured
    inputs and notifications

Where can I see the inventory requests related to my hotel? 

Once an inventory request is submitted, a system generated email will be sent to your hotel. This email includes information on the event, the company requesting the inventory, and unique Inventory Request number so it's easy to reference and communicate about.

This email will include a link directly to the inventory request. You will need to log in with your email and password.

If you do not have or sorted away the original email, an Inventory Requests tab will appear in your portal. You can access them any time by logging into app.eventpipe.com.

How do I respond to the request?

Hotel users can respond in several ways and include messages for
added flexibility:

  • Approve the request 
    This will allow you to enter the rate for the rooms requested, along with a note, then submit.

  • Deny the request
    When you deny a request, you must give a reason. This is shared back with the HoCo.

  • Offer an alternative, such as a different room type or inventory
    amount
    This gives you the opportunity to offer rooms that differ from the original request, in room type or pricing, along with a note.

Once you update the request, it will update the Housing Company with your offer (or lack thereof) via email. You will receive an official addendum when the Housing Company user adds the offered inventory.
